Eleven hours. Not from a vendor deck, from adding up minutes. That figure is the honest ceiling for what CRM automation services can return on a team like this.

Two things worth noting. Follow-up email writing has the lowest automation share on the list at 60%, because a drafted email still needs a human read before it goes out. Quoting sits at 55% for the same reason. The tasks that automate cleanly are the ones with no judgement in them at all.

Small and medium enterprises are the fastest growing segment at a 16.2% CAGR, which is why vendor pricing keeps shifting at the lower tiers.

This is where teams buying CRM automation services overspend without noticing, because the billing units are not comparable.

The Number You Should Stop Quoting, and the Caveat Nobody Prints

Two corrections, both of which cut against what a vendor selling CRM automation services would normally tell you.

First, recovered hours are not recovered money. Freeing 11 hours a week only produces revenue if those hours are deliberately redirected into pipeline generation and customer conversations. If nobody changes what reps are expected to do with the time, the hours dissipate into longer lunches, more internal meetings and a slightly calmer week. That is a real quality-of-life win and a genuine retention benefit, but it is not $124,080. Attach the automation project to a specific activity target, such as a required increase in weekly first meetings, or expect the capacity to evaporate.

Second, the ROI figure everyone cites is twelve years old. You will see "$8.71 returned for every $1 spent on CRM" on nearly every page in this category. It comes from a Nucleus Research study published in 2014. Nucleus revisited the question in 2023 across 63 case studies and put the figure closer to $3.10 per dollar, a decline of roughly 37% that they attributed to growing implementation complexity rather than declining platform value. Anyone quoting $8.71 in 2026 either has not checked or is hoping you will not.

Plan against $3.10. Treat anything above it as upside.

There is a third uncomfortable number. Industry reporting on CRM implementations that miss their stated objectives clusters around 50%, and the consistently identified primary cause is poor user adoption, not software limitations. Five Red Flags When Buying CRM Automation Services

Use this as a checklist on any CRM automation services proposal, ours included.

No data audit in scope. If nobody has looked at your duplicate rate, field completeness and stale records before quoting, the estimate is fiction. Dirty data does not get better once it is flowing through five systems.
A flat monthly retainer with no defined workflows. Ask which specific automations ship in which week. "Ongoing optimisation" with no ship list is a subscription, not a project.
No rollback plan. Every workflow that writes to your CRM needs an audit log and a way to reverse a bad run. Ask to see it.
Everything on a proprietary platform you cannot export. If the logic lives somewhere you cannot self-host or migrate, your sales process is now leased. Ask what the export path looks like on day one.
Automation of customer-facing output without human review. Anyone happy to auto-send emails and quotes to named accounts in phase one has not run this before.

One more, less obvious. If a proposal promises to automate your discount approvals or your lead scoring model in the first phase, push back. Those depend on judgement your team has not yet encoded, and encoding them wrong is worse than leaving them manual.
